Procedures for Installing TRAYCARE on a Network

 

1.      Before installing Traycare in a network setting, read the Access help topics:

a.      About Sharing an Access database on a network (MDB)

b.      Set Options for a Shared Access Database (MDB).

c.      In Offline help, search for “Sharing an Access Database”.

d.      Discuss the options which affect simultaneous use of files with your Traycare administrator and network administrator.

 

2.      When you install TRAYCARE, a directory named Traycare is created on your C drive: C:\Traycare. In this directory and its subdirectories are all the files required to run Traycare. No files are written to Windows, Program Files, or any other directory on your computer.

 

3.      The programs, reports, and forms of Traycare are in C:\Traycare\TCProg.mdb. All the data is kept in C:\Traycare\TCData.mdb.

 

4.      You will want to put the Traycare data in a network location accessible to all Traycare computers. It is an option to only install Traycare on this computer, and run the programs from each Traycare computer, but for best results you should install Traycare on each computer that will be using it. This will increase the speed and reduce network traffic. Discuss locations with your network administrator before beginning the install.

 

5.      Do a normal install on the first Traycare computer.

a.      Insert the installation CD and follow the prompts.

b.      Traycare will start. Exit Traycare (always use the menu icons to exit).

 

6.      In Windows Explorer, move TCData.mdb from C:\Traycare to the desired network location.

 

7.      Link the program files to the data files

a.      Start Traycare in troubleshooting mode (hold the shift key fully depressed while clicking on the Traycare icon, and hold the shift key fully depressed until Traycare is fully open). On the top menu bar select Tools | Database Utilities | Linked Table Manager.

b.      Click the Always prompt for new Location check box, and click on the Select All button.

c.      Browse to TCData.mdb in its network location.

d.      Click OK and wait for Access to report that all tables were successfully linked.

e.      Check to be sure that you can open Traycare and all menu item work.

 

8.      Install Traycare on each additional computer that will be using Traycare.

a.      Repeat Steps 5. –7. above just like you did on the first computer, EXCEPT delete the local TCdata.mdb file in C:\Traycare rather than moving it.

9.      On each computer set locking to the desired settings.

a.      Tools | Options |Advanced

b.      If only one person at a time will be accessing Traycare, set the Default Open Mode to Exclusive. This is the safest setting, but only one person will be able to access the database at a time.

10.  A backup of the data file will be made each time the file is accessed. These backups will be made on each users computer. In the event it is necessary to restore some data from backup, be sure to check carefully and find the most recent backup. The Traycare backup  files will be in C:\Traycare, and be identified by date and time, (BuYMMDDhhmm.mdb), e.g.: Bu603231615.mdb. .
