This page contains answers to common questions handled by our support staff, along with some tips and tricks that we have found useful and presented here as questions.

   

Question:

What are the computer requirements for TRAYCARE?

Answer:

TRAYCARE requires Windows XP (home, business, or professional) or later, MS Office Access 2003 or later, a laser printer (black and white or color), with recommended minimums of 512 MB of memory and an 80 GB hard drive. If you have an older system contact our Technical Support to determine if TRAYCARE would run on your machine.

Question:

Is internet access required to operate TRAYCARE?

Answer:

No, you do not need internet access to operate TRAYCARE. However internet access does make support, updates, problem solving, and error reporting easier.

Question:

What’s the best way to get started with TRAYCARE?

Answer:

Once you have loaded TRAYCARE on your computer, I would recommend you customize your program for your facility.

Go to DATA ENTRY AND REPORTING. Enter your password. From the choices listed, go to ENTER SETUP INFORMATION. You will see a list of categories that you can customize. When you select one, a screen for that selection will appear. For example, if you select DIET ORDERS, you will see a list of diet orders already loaded into the program. By choosing ADD RECORD, EDIT RECORD, DELETE RECORD, you can add or remove diet orders according to your facility. Then select SAVE RECORD and your diet orders are customized for your facility. You can follow this same procedures for supplements, adaptive devices, beverages, feeding assistance required, units/halls, room numbers, dining rooms, etc.

Question:

When I’m ready to start inputting resident data, what’s the best way to start?

Answer:

Before you start inputting resident data, get the information you need organized and in front of you. For example, for each resident you will need their facility ID number, room number, physician, meal location, current diet and supplement order, food preferences, allergies, beverage preferences, etc.

By getting this information organized, inputting data and printing tray cards can be quick and accurate.

Question:

How do I remove someone from TRAYCARE if they are discharged?

Answer:

Go to DATA ENTRY AND REPORTING. Select TRAYCARDS. Then select the resident from the list of names. When the resident’s traycard appears, you will see an x along the bottom of the screen. If you click on the x, you will see a screen asking if you want to delete the resident and all related records from the program. Select yes, then enter the password for deleting a resident (tcdelete).

Question:

How do I input a lot of resident’s weights at one time?

Answer:

From any resident’s traycard you can select "weight" along the tabs at the top of the traycard under the resident’s name. You will be taken to the weight input screen. Along the lower right of the screen is the list of all the residents. Once you have input a weight, simply click on the next name and proceed inputting weights. Just go down the list.

Question:

How do I delete information off a resident’s traycard?

Answer:

Go to the screen with the information you want to delete. For example, beverages. Along the left of the screen you can click on a box beside the entry you want delete, then select ‘DELETE RECORD’.

Question:

I’m not sure the best way to print tray cards. What do you suggest?

Answer:

There are many ways TRAYCARE can print your traycards. Go to the PREVIEW AND PRINT REPORTS screen. Select PRINT TRAYCARDS.

Along the right you will see the parameters for printing – names (can include one name or many names depending on the information you set), units (can include one or more units to print), sequence numbers (can include one or many). Be sure these say what you want.

Then look on the left side of the screen. You can choose to print, based on the parameters you set, by name, unit, or sequence number. But before you print, determine if you want cards printed for a particular meal, for all meals (All by Meal), or by resident (All by Resident) for all meals.

If you select Breakfast, click the print button beside either name (it will print breakfast cards in alphabetical order), unit (it will print breakfast cards by unit) or sequence number (it will print breakfast cards for breakfast in sequence order). Tray cards will be printed just for breakfast, in the order you selected, and for the parameters you set.

If you select ‘All by Meal’, you will have tray cards printed for every meal in the order you selected (name, unit, sequence), and for the parameters you set, one meal at a time – all breakfast, then all lunch, then all dinner.

If you select ‘All by Resident’, tray cards will be printed for all meals by resident.

My preference is to select ‘All by Resident’, and print by sequence number. When the stack of tray cards is printed, tear down the top third for breakfast, the next for lunch, the bottom for dinner. This is quick and easy. However, if you want each meal to print in a difference sequence order for service, I would recommend you select ‘All by Meal’ or the

individual meal, then print by sequence number.

Question:

What kind of paper do I need to print tray cards on?

Answer:

Most paper suppliers can provide you with a standard 8 ½" x 11" paper that is perforated horizontally into three parts (viewed in the portrait position).

It does not have to be any heavier than standard copy paper, and can be in any color you select. I like white, because residents’ pictures look better. If you use a color printer and include residents’ pictures on your tray cards, you definitely want white paper.

Question:

What do I do if I have an unusual diet order that’s not in my program?

Answer:

You have two options. If you are in the resident’s traycard, go to DIET ORDERS. Select Add Record, and type in the diet order. You will be asked if you want this added to the list of diet orders. By answering yes, this diet will subsequently appear in the Diet Orders. Or, you can go to ENTER SETUP INFORMATION and add the diet order. This same procedure works for adding supplements, beverages, food dislikes, etc.
